Every utility has its own roster format. Different columns. Different tabs. Different field labels. And every single one expects their template back exactly the way they sent it.

If you've managed storm crews for more than one season, you know the drill. A storm call comes in. Your dispatch team scrambles to build rosters. Then somebody spends the next hour copying and pasting crew data into three different Excel layouts because each utility wants it their way. At 2 AM during a Category 3 mobilization, that's not just annoying. It's a liability.

Roster template management in KYRO was built to get rid of that problem entirely. You upload each utility's format once. You configure which fields to get filled. And from that point forward, every roster export comes out in the exact layout the client expects. No reformatting. No resubmission. No wasted hours during the moments that matter most.

Here's how it works, and why setting it up before storm season is the smartest move a contractor can make.

The Roster Formatting Problem Storm Contractors Know Too Well

Talk to any dispatch manager or operations lead at a storm restoration contractor. You'll hear some version of the same story:

  • Every utility sends a different roster template. Different column orders, different sheet structures, sometimes completely different data requirements.
  • Crews get reassembled for every event, but the roster formatting work starts from scratch each time.
  • Someone on the team ends up being the "Excel person" who manually maps crew data into client-specific layouts under deadline pressure.
  • Formatting mistakes like a wrong column, a missing phone number, or a classification in the wrong field cause submittal rejections that eat up hours you don't have.
  • There's no single system that holds both your crew's data and the client's required format. The two live in different places and get stitched together by hand.

This isn't a minor inconvenience. During mutual aid mobilizations coordinated through organizations like the American Public Power Association, utilities expect properly formatted rosters fast. A delayed or incorrectly formatted submittal doesn't just slow you down. It can push your crews further back in the deployment queue.

How Roster Template Management Works in KYRO StormShield

When you join KYRO, you'll receive an email prompting you to upload your utility-specific roster templates. The idea is simple. Get your formats configured during blue sky, before a storm is called, not during one. That's what pre-storm roster preparation looks like in practice.

You can upload roster templates from two places: the StormShield page or directly from a client's record in the Client List.

On the StormShield page, the upload option is placed where you'll naturally see it. Hover over it and a tooltip explains what it does. The placement is intentional. Templates should be set up ahead of time, not under pressure.

Each template is tied to the specific utility it belongs to. You can add as many templates as needed for a single client. Different formats for different submittal requirements. Each one is stored independently and ready to go when you need it.

Adding a new utility-specific roster format takes under a minute:

  1. Select the utility the template belongs to. If the client isn't in KYRO yet, you can add them on the spot without switching screens.
  1. Name the template, or leave it blank and KYRO pulls the name from the file automatically.
  1. Drop in the spreadsheet. KYRO accepts XLS, XLSX, and CSV files.

That's it for the upload. The real time savings come from what happens next.

Configuring Utility-Specific Roster Fields

Once the file is uploaded, you go through a short two-step configuration. You only do this once per template. Every future storm uses the same setup automatically.

Step 1: Choose the sheets. Most utility roster templates have more than one sheet. A crew data sheet, an equipment page, a summary tab, instructions etc. KYRO reads the file and shows you all available sheet names. You select the ones you want KYRO to auto-fill with crew data. Everything else stays untouched, exactly as the utility sent it.

Step 2: Choose the fields. From the sheets you selected, KYRO shows you every available column. You check the ones you want auto-populated. That could be name, phone, email, classification, role, supervisor, or whatever the utility requires. Every column from the original file stays in the export. KYRO only fills the fields you've selected. Nothing gets removed, rearranged, or overwritten from the client's original template layout.

Once you save the configuration, the KYRO team reviews your setup and reaches out within 24 hours to confirm the field mapping. You'll get an email from the team. It's a human in the loop check, not just an automated confirmation. If anything in the mapping looks off, they'll catch it before your first real export.

Exporting a Storm Crew Roster in the Client's Exact Format

This is where the setup pays off.

When it's time to export, open the Final Roster page. The template auto-selects based on the client you're working with. You can also choose from any of your configured templates if you have multiple formats for that utility.

Click Export. Before anything downloads, KYRO shows you a live preview of the populated roster in the client's exact format. Same sheet names. Same column order. Same structure. But now filled with your crew data.

If something needs correcting, like a phone number, a classification, or a supervisor assignment, you can edit it directly in the preview. No downloading first, checking the file in Excel, then coming back to fix it. Everything happens before the file leaves the platform.

Once you're satisfied, you download. The file matches the client's layout exactly. Ready to submit. That's what an automated roster export actually delivers. Not a generic CSV dump, but the utility's own template populated with verified crew data.

Why Pre-Storm Roster Preparation Changes the Game

Roster template management isn't just about moving faster. Though you will absolutely move faster, it's about removing a source of errors from a part of your workflow that already carries enough pressure.

Think about what happens without it. Your dispatch lead gets the storm call and they start pulling crew data together. Then, they must figure out which template goes with which utility, which fields go where, and whether the format they used last hurricane season is still current. Multiply that by three utilities calling at the same time. Now you've got a formatting bottleneck sitting right in the middle of your mobilization.

When formats are set up before a storm, roster export becomes a non-event. No reformatting time. No resubmission time. Your submittal goes out in the layout the client expects. Your team moves on to the work that actually matters: getting crews deployed safely and on time.

As the Edison Electric Institute's storm response coordination continues to evolve, utilities are raising the bar on how quickly they expect contractors to mobilize and report. Having your roster infrastructure ready before the call comes in isn't a nice-to-have anymore. It's table stakes.

Frequently Asked Questions

What file formats does KYRO accept for roster templates?

KYRO accepts XLS, XLSX, and CSV files. Most utility-specific templates come in one of these formats. You can upload them as-is without any conversion.

Can I use different roster formats for different utilities?

Yes. Each template is tied to a specific utility client. You can store multiple formats per client. If a utility requires different layouts for different submittal types, each one gets its own independent configuration.

How long does it take to configure a roster template?

The initial upload and field configuration takes under a minute. After you save, the KYRO team reviews the mapping and confirms within 24 hours. Once that's done, the template is ready for every future storm. No reconfiguration needed.

Can I edit crew data before exporting the final roster?

Yes. KYRO shows a live preview of the populated roster before you download it. You can make inline edits to names, phone numbers, classifications, and supervisor assignments directly in the preview without leaving the platform.

Does the exported file preserve the utility's original template structure?

Completely. Sheet names, column order, formatting, and structure all stay exactly as the utility provided them. KYRO only populates the fields you selected during configuration. Nothing is removed or rearranged.
